Missed-call text-back is an automatic text or WhatsApp message sent to anyone whose call you did not answer. It tells them you saw the call, gives them a way to book or reply, and keeps them from dialling the next business on Google.
How does missed-call text-back work?
Your phone system or a call-tracking tool detects a missed or unanswered call and triggers a message to the caller's number within seconds. Most modern business phone systems and CRMs can do this, including many used by trades and clinics. If yours cannot, a forwarding number from a call-tracking provider can sit in front of your existing line.
What makes a good text-back message?
A good text-back message does three things in under 300 characters: says who it is from, apologises briefly, and offers one clear next step. It should not sell. The caller already wanted you.
- Name your business in the first five words.
- Offer a booking link or ask one question they can answer in a word.
- Avoid links that look like tracking links. Use your own domain where you can.
Five scripts you can copy
Trades and home services: Hi, it's [Business]. Sorry we missed your call, we're on a job right now. Reply with what you need and your address, or book a time here: [link]
Dental or clinic: Hi, this is [Practice]. Sorry we missed you! Reply here and our team will get back to you shortly, or book an appointment online: [link]
Medspa: Hi, it's [Studio]. We missed your call, sorry! Would you like to book a consultation? Here are this week's times: [link]
Legal or professional services: Hi, this is [Firm]. We're sorry we missed your call. Can you reply with a few words about your matter? We will call you back today.
After hours: Thanks for calling [Business]. We're closed right now, but you can book the first slot tomorrow here: [link] or reply and we'll call you at 8am.
Is missed-call text-back legal?
In most places, replying to someone who just called you is treated as a service message, not marketing, but rules vary. In the US, keep the reply about their call, avoid promotions, and include a way to opt out if you send more than one message. In the UK and EU, the same principle applies under PECR and GDPR. If you are unsure, ask your phone provider how they handle consent.
Missed-call text-back is the fastest fix most service businesses can ship: it takes days, not weeks, and needs no new staff.
We set this up as a fixed-price task. See the task catalog or read the sample messages.
